Slack

Connect your Slack once: each app posts to the channels its admins choose, and people get the direct messages they want.

What Slack does in Taktoria

Slack does three things here:

  • Channel posts: each app posts what happens in it, such as a launch shipping or a meme being made, to the public channels its admins choose. Every kind of post has a channel of its own, or none.
  • Direct messages: people hear about what is theirs, such as a review assigned to them, in Slack as well as, or instead of, by email.
  • Commands: anybody in the workspace can type /launchcal, /dory, /golinks or /memegen in Slack, as themselves, and sees a private preview before anything reaches a channel: see Slack commands.

A workspace owner or admin connects Slack once, for every app. Taktoria asks Slack for leave to post messages, to post in public channels without being invited, to list your public channels, to find people by email address, and to add its commands. It cannot read your channels or your messages.

Channel posts are written in the language most of your workspace's members use; a direct message is in the language of the person it is for.

Connecting Slack

Only a workspace owner or admin can connect Slack.

  1. Open Settings → Integrations.
  2. Under Slack, select Connect Slack.
  3. In Slack, choose the Slack workspace if you are asked, and allow it.
  4. Back in Taktoria, the card says which Slack it is connected to, and lists the apps with how many of each one's posts are on.

Nothing is posted yet: each app's admins choose its channels next. If Slack says the attempt has expired, or that it began in another workspace, select Connect Slack again.

Choosing where each app posts

Each app's admins (the workspace's owners and admins, and anybody made an Admin of that app) choose where it posts:

  1. Open the app and, under Admin at the foot of its sidebar, select Slack. Settings → Integrations links to each app's page too.
  2. Each kind of post has a row of its own. Type part of a channel's name and select it, however many channels your Slack has. The × beside a chosen channel turns that kind Off again.
  3. Choosing a channel while every kind is Off chooses it for all of them, except the busy ones (check-ins, and go links pointed somewhere else), which stay Off until you choose a channel for them.

Only public channels are offered: Taktoria posts there without being invited, so private channels are not. A chosen channel that has since been archived or made private is shown as no longer listed: choose another. If Slack does not send its list of channels, the page asks for each channel's ID instead, which is at the bottom of the channel's details in Slack.

Every change is recorded in the audit log.

What each app posts

  • LaunchCal: A launch is added, with its owners, teams, status and planned date; A reviewer makes a decision; A launch's date moves, from what to what; A launch ships; and Upcoming launches, weekly: every Monday morning, the launches planned for the next 30 days.
  • OKR Hub: An objective is added, once it is published; A key result is checked in, with its note; Halfway through the quarter: how many objectives, the average score, and the key results gone two weeks without a check-in; and The quarter is over: in the first week of the next one, the average and the three best scored objectives.
  • Dory: An event is scheduled, with its join code and link; An event opens, when a host starts it or its time comes; and How an event went, when it ends: who came, the questions asked and answered, and the top questions.
  • Go Links: A go link goes live, with where it goes and what it is for; and A go link is pointed somewhere else, from where to where.
  • Memegen: A meme is made, as its picture alone, through a link that works for 30 days. Turn on Describe the picture with its captions and screen readers in Slack read its captions out; off, the picture goes with no description.

The quarters are your workspace's fiscal quarters.

What it never posts

Only what every member of the workspace may see goes to a channel:

  • Never a draft: a launch, an objective or a go link is posted once it is published.
  • Never a private objective. Objectives brought in in bulk are not posted one by one.
  • Never a Dory event for People at certain email domains: its title is for the people it lets in. Never an event's passcode, and the recap of an event with a passcode leaves out its questions.
  • Never into a private channel, and never a direct message into a channel instead.

Direct messages

A direct message goes to the person it is for, matched to their Slack account by email address, so their Slack account has to use the address they use in Taktoria. When there is no match, it is not sent to anybody else.

  • A review assigned to you in LaunchCal, and a nudge about one, always come.
  • Everything else is yours to choose in Account → Profile → Notifications, where each kind has an Email and a Slack box: Launch approval reminders, Launch updates, Launch date reminders, Overdue launches, OKR scoring reminders, OKR mid-quarter check-in, Dory recaps and Dory host reminders among them. Product tips are Email only.

The Slack boxes appear once an admin has connected Slack to one of your workspaces.

Disconnecting

In Settings → Integrations, a workspace owner or admin selects Disconnect on the Slack card. Every channel post and direct message stops at once. The channels each app's admins chose are kept, so connecting the same Slack again picks up where it left off.

To take Taktoria out of Slack entirely, also remove the app in your Slack workspace's settings.

Troubleshooting

  • Nothing is posted: open the app's Slack page. A kind of post that is Off posts nothing, and only what happens after a channel is chosen is posted.
  • A channel is missing from the list: only public channels are listed. Make it public, or choose another.
  • The page says Slack is not connected: a workspace owner or admin connects it in Settings → Integrations.
  • Somebody gets no direct messages: their Slack account's email address has to be the one they use in Taktoria, and the kind has to be ticked under Slack in their notifications.
  • Connecting failed or expired: select Connect Slack again, from the Taktoria workspace you mean to connect.
