ClickUp

Link a LaunchCal launch to its ClickUp list or task and the launch follows it: status, progress and comments, synced daily and whenever you ask.

What ClickUp does in Taktoria

In LaunchCal, a launch can follow its work in ClickUp: a list, or a task. Its status moves with the work's, it shows how much of it is done, and its comments appear on the launch.

Taktoria only reads from ClickUp: it never creates, changes or comments on anything there. A folder or a space has no status of its own, so a link to one is kept as a plain link: link one of its lists or tasks to follow it.

Connecting ClickUp

Only a workspace owner or admin can connect ClickUp.

  1. Open Settings → Integrations.
  2. Under Ticketing systems, select Connect ClickUp.
  3. Sign in to ClickUp, choose the ClickUp Workspaces to connect, and allow it.

Taktoria reads ClickUp as the account that connects it, in the Workspaces chosen there: any list or task that account can see can be linked to a launch, and its comments shown there, by anybody who can edit the launch. So connect ClickUp with an account kept for Taktoria that can see only the work your launches follow, rather than your own. A connection made with a person's account also stops syncing when they leave.

What syncs, and when

A linked launch is synced once a day until it launches, and whenever somebody selects Sync now.

  • Status: a list has no status of its own, so its tasks say it: Scoping until one of them is begun, In development once one is (a launch already in Design or Testing stays there), and done once all of them are. A task's own status says it: open is Scoping, in progress is In development, and done or closed is done, unless the status's name says it was dropped (won't do, cancelled, duplicate), which is On hold.
  • Progress: a list's tasks done, or a task's subtasks done.
  • Comments: each comment becomes a comment on the launch's Activity tab, marked From ClickUp with a link to it.
  • Completed: when the work is done, the launch says it is ready and its owners are told.

A status you choose in LaunchCal stands until ClickUp's changes again. What a sync changes is shown as ClickUp's, in the launch's history, in what its owners are sent and in the audit log.

What it never does

  • It never launches anything. Done work makes the launch ready; somebody still selects Press to launch! once its required reviews are decided.
  • It never changes a launch that has launched.
  • It never writes to ClickUp.
  • It never undoes a status you chose in LaunchCal, unless ClickUp's changes again.

Unlinking and disconnecting

Unlink, on the launch's Details tab, stops that launch syncing; what was brought in stays.

Disconnect, in Settings → Integrations, stops every launch syncing from ClickUp. Launches keep what they link and everything synced so far, and pick up again once ClickUp is connected again.

ClickUp gives Taktoria no way to withdraw its own access: to remove it completely, also remove Taktoria from the apps connected to the ClickUp account that connected it.

Troubleshooting

  • The list or task could not be found: it was deleted, moved, or is somewhere the connecting account cannot see. Give that account access, or link its current address.
  • ClickUp turned the connection down: a workspace owner or admin connects ClickUp again in Settings → Integrations. This happens when the account that connected it leaves or removes Taktoria.
  • ClickUp did not answer the last sync: the next sync tries again, or select Sync now later.
  • It is kept as a plain link: ClickUp is not connected yet, or the address is a folder's or a space's. Link one of its lists or tasks instead.
