Asana

Link a LaunchCal launch to its Asana project and the launch follows it: status and progress, synced daily and whenever you ask.

What Asana does in Taktoria

In LaunchCal, a launch can follow the Asana project that holds its work. Its status moves as the project's tasks are completed, it shows how many of them are, and it is done once the project is marked complete.

Taktoria only reads from Asana: it never creates, changes or comments on anything there. A task, a portfolio or a goal has no status of its own here, so a link to one is kept as a plain link.

Connecting Asana

Only a workspace owner or admin can connect Asana.

  1. Open Settings → Integrations.
  2. Under Ticketing systems, select Connect Asana.
  3. Sign in to Asana and allow it.

Taktoria asks Asana only to read projects, people and workspaces, and it reads as the Asana account that connects it, in every Asana workspace that account belongs to. Any project that account can see can be linked to a launch, and its progress shown there, by anybody who can edit the launch. So connect Asana with an account kept for Taktoria that can see only the projects your launches follow, rather than your own. A connection made with a person's account also stops syncing when they leave.

What syncs, and when

A linked launch is synced once a day until it launches, and whenever somebody selects Sync now.

  • Status: Scoping until one of the project's tasks is completed, then In development (a launch already in Design or Testing stays there). A project marked complete is done.
  • Progress: the share of the project's tasks that are completed.
  • Completed: when the project is marked complete, the launch says it is ready and its owners are told.

The project's status updates do not come across: Asana does not let an app that only reads, as Taktoria does, read them. A status you choose in LaunchCal stands until the project's changes again. What a sync changes is shown as Asana's, in the launch's history, in what its owners are sent and in the audit log.

What it never does

  • It never launches anything. A completed project makes the launch ready; somebody still selects Press to launch! once its required reviews are decided.
  • It never changes a launch that has launched.
  • It never writes to Asana.
  • It never undoes a status you chose in LaunchCal, unless the project's status changes again.

Unlinking and disconnecting

Unlink, on the launch's Details tab, stops that launch syncing; what was brought in stays.

Disconnect, in Settings → Integrations, stops every launch syncing from Asana and withdraws Taktoria's access there. Launches keep what they link and everything synced so far, and pick up again once Asana is connected again.

Troubleshooting

  • The project could not be found: it was deleted, or the connecting account cannot see it. Give that account access to it, or link its current address.
  • Asana turned the connection down: a workspace owner or admin connects Asana again in Settings → Integrations. This happens when the account that connected it leaves or loses access.
  • Asana did not answer the last sync: the next sync tries again, or select Sync now later.
  • No status updates come in: Asana does not let an app that only reads see them. The launch follows the project's tasks and completion instead.
  • It is kept as a plain link: Asana is not connected yet, or the address is a task's, a portfolio's or a goal's rather than a project's.
